Enquiry and quote workflow automation for small businesses
Make the path from enquiry to quote easier to follow: what has arrived, what information is missing and who should act next. For small businesses and independent professionals, Kimo Studio maps one workflow and prepares a practical written recommendation. You get a clear view of the steps, responsibilities and next action before deciding on an automation.
Describe my enquiry workflowStart with the handoff that needs attention
This service is for the person who needs to keep track of requests across email, forms or a shared table. Describe a recent request in your own words: how it arrived, who reviewed it, where its status was recorded and how the next action was chosen. We use that path to identify the step to work on.
- Intake: what information is needed to review the enquiry?
- Qualification: who decides whether it is ready for a quote?
- Follow-up: where are the status, owner and next action recorded?
- Exceptions: what happens if information is missing or a handoff fails?
First, a written diagnosis of one workflow
The starting point is a written diagnostic based on your explanation and a fictional or anonymised example. It brings the workflow into one document you can review and correct.
The proposed deliverable contains a map of the current steps, declared tools and responsible roles; uncertainties and control points; one synthetic scenario; acceptance criteria; and a recommendation to improve, test, automate or stop. It gives you a concrete basis for deciding the next step.
Then design and test one useful automation
If the diagnostic supports an automation, a separately agreed pilot can focus on one handoff. Feasibility review covers the interfaces and permissions needed to connect the relevant forms, email, CRM, spreadsheets, documents or APIs.
Define the trigger, required fields, status changes, responsible person and failure path before building. Keep human approval where a decision needs judgement or authority, including quote approval and commercial commitments.
- Test normal requests, incomplete information and failed handoffs against agreed criteria.
- Specify access, data handling, rollback and handover before a production change.
- Treat recurring support and additional workflows as separate unless agreed otherwise.
Fictional scenario: a request is not ready for a quote
Illustrative scenario, not a client case: a service business receives a request without enough information. A proposed flow flags missing details, records a review status and prepares the next action for the responsible person. A human decides what to ask and whether to proceed.
Limits before access, cost or commitments
The first diagnostic excludes production integration, account access, real customer-record processing and day-to-day case management. Do not send customer files, passwords, API keys or confidential records in the initial enquiry.
There is no guaranteed time saving, revenue increase or universal software compatibility. Timing, costs, ownership and any ongoing service depend on a written agreement. If a simpler manual process is sufficient, that can be the recommendation.
Questions before automating enquiry follow-up
Do we need a new CRM?
Not by default. Start with the tools and process you already use. A missing ownership rule or unclear status may call for a process change rather than another application.
Will quotes or follow-up emails be sent automatically?
Not as part of the initial diagnostic. Any later sending behaviour, permissions and human approvals must be explicitly scoped and tested before activation. No automatic sending is promised here.
Can I start without sharing customer data?
Yes. Describe the steps and tools in general terms and use a fictional example. Sensitive information and production access are not needed for the initial written enquiry.
Describe one enquiry-to-quote workflow
Use the current-process field in Contact to explain where a request arrives, the tools used and who acts next. In the objective field, describe the point you want to clarify or improve and any constraints. Keep the example fictional or anonymised and leave out confidential records.
